Job Opportunity: Administration Officer

Wits Health Consortium is seeking a motivated and organized Administration Officer to join our team in Parktown. The successful candidate will play a crucial role in ensuring the smooth operation of our administrative functions, contributing to our mission of enhancing health and wellness in our communities.



Key Responsibilities:

  • Office Management: Oversee daily office operations, ensuring an efficient and effective work environment. This includes managing office supplies, equipment, and maintenance requests.
  • Administrative Support: Provide comprehensive administrative support to the management team, including scheduling meetings, preparing agendas, and taking minutes. Ensure that all documentation is accurately maintained and easily accessible.
  • Communication: Serve as the first point of contact for internal and external stakeholders, including clients, vendors, and team members. Facilitate effective communication across departments.
  • Financial Administration: Assist in budget preparation and monitoring. Process invoices, manage expense reports, and maintain financial records to support the finance team.
  • Data Management: Maintain and update electronic and paper filing systems, ensuring all records are organized, accurate, and compliant with relevant policies and regulations.
  • Event Coordination: Assist in organizing and coordinating company events, workshops, and training sessions, including logistics, materials preparation, and participant communication.
  • Compliance and Reporting: Ensure compliance with company policies and procedures, as well as relevant legal and regulatory requirements. Prepare reports and summaries for management as needed.

Qualifications:

  • Educational Background: A diploma or degree in Business Administration, Office Management, or a related field is preferred.
  • Experience: A minimum of 2-3 years of experience in an administrative role, preferably within the health sector or a non-profit organization.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software. Familiarity with database management and financial software is an advantage.
  • Organizational Skills: Excellent organizational and multitasking skills with a keen attention to detail. Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Communication Skills: Strong verbal and written communication skills. Ability to interact professionally with diverse groups and maintain a positive demeanor.
  • Problem-Solving Abilities: Demonstrated ability to identify issues, develop solutions, and implement changes effectively.
  • Team Player: A collaborative approach with the ability to work independently as well as part of a team.
